Referral Support Service

Barnet Referral Support Services (BRSS)

  • Formed in 2010 to support Barnet CCG in management of GP practice referrals
  • During the early stages, Barnet CCG commissioned Barndoc RSS to collect Referral information from Barnet GP practices.
  • Within a very short timeframe, the RSS team began to perform the end to end process of receiving GP referrals and booking them into secondary care or community service providers. A small GP triage team was formed and a handful of referrals were triaged against Barnet pathways prior to being sent to secondary care or community service providers
  • Over the last 10 years our role has changed considerably as Barnet CCG has introduced more pathways in a drive to reduce inappropriate referrals and to ensure that each referral reaches its provider destination containing the supporting information needed to assess the patient’s condition.
  • Barnet RSS currently serves 52 Barnet GP Practices and processes up to 500 routine and urgent referrals per day.
  • Providing RSS services for over 44 specialities.
  • Pathways in place for 65% of all specialities which are triaged by a specialist team of 11 local GPs.
  • Robust management, GP triage and reporting of the North Central London Evidence based interventions and clinical standards policy to ensure that procedures not routinely funded meet criteria for approval prior to being sent to providers.
  • Well established clinical lead who works with the CCG to develop and ratify pathways
  • Robust management and reporting of GP returns due to missing clinical information, pathways not followed, primary care management or advice and guidance recommendation.
  • Provision of GP return information in order to highlight trends and inform GP education.
  • A dedicated, experienced and knowledgeable team of 14 administrators who are patient focused and have excellent customer service skills.
  • The team is led by 3 experienced senior managers with over 18 years referral management experience.
  • In 2018 Barnet RSS implemented Docman and created a bespoke referral management system tailored to the needs of Barnet CCG. A system which is flexible and can be tailored to the individual needs of future clients.
  • The Doc-man system has been built around Barnet CCG pathways to ensure that the patient referral is processed efficiently and is sent to the right place first time.
  • Outstanding referral workflow functionality which allows the tracking of the patient referral journey, from receipt through to provider booking.
  • Detailed referral information captured to allow detailed analysis of the overall referral picture in Barnet CCG. Information can be drilled down to individual speciality and GP practice level. Robust reporting functionality.
  • 80% of all referrals are booked into e-RS.
  • Front end e-RS integration functionality available.
  • Dedicated call centre open to patients 9.30 to 4.30 and GPs 9 to 5. Email addresses also available to answer both GP and patient queries.
  • Robust audit process of both GPs and administrators
  • Comprehensive complaints reporting and GDPR compliance
  • Tailored patient communication to support the standard e-RS offering
  • In 2020, Barnet, Enfield, Haringey, Camden and Islington merged to form NCL CCG. Barnet RSS are currently working with NCL CCG to standardise processes across the 3 NCL referral support services.
